3265: item not found in this collection - ms-access

In an MS Access table, I have some attachments to each item.
I would like to save each attachment in a temporary directory through a VBA code.
The VBA code that I am trying to replicate is in this tutorial
https://www.youtube.com/watch?v=Gm5fch0xaI4&t=306s
The problem is that I get the error '3265' item not found in this collection already when I am trying to assign a value to a DAO.Recordset2 object.
Here my code.
Private Sub Carica_Dati()
Dim rsParent As DAO.Recordset
Dim rsAttachment As DAO.Recordset2
Dim SQL As String
SQL = " SELECT [Data Processing List].Department" & _
" FROM [Data Processing List]" & _
" WHERE ((([Data Processing List].Treatment)=""HR-002""))"
Set rsParent = CurrentDb.OpenRecordset(SQL, dbOpenSnapshot)
If rsParent.RecordCount = 0 Then
MsgBox "no"
Else
Set rsAttachment = rsParent!Document.Value
End If
End Sub

I'm assuming Department is your attachment field. In that case, you need to use !Department, and not !Document
Set rsAttachment = rsParent!Department.Value
If Document is your attachment field, you need to include it in your query:
SQL = " SELECT [Data Processing List].Department, [Document]" & _
" FROM [Data Processing List]" & _
" WHERE ((([Data Processing List].Treatment)=""HR-002""))"

I'll bet your table Data Processing List doesn't have a field called Document. That would be a bad name for a field anyways since Document is a reserved word. (If you posted sample data then it we know for sure what the problem was.) Check out [MCVE]

MSACCESS 2013 - How to execute and display a SELECT SQL from vba

I've been unable to find a good example of how to execute a SELECT SQL from vba and display the results as a datasheet.
I have a query with 31 fields. I'm attempting to build a form which will allow the user to select the fields they want to see in the results, rather than building a bunch of stored queries that might never be used.
I'm starting small... I have a form built with 3 option buttons which I am using to build the fields I want to display. The SQL looks correct, and I have been able to get the SQL to run in the past, but have never had it display the results as a datasheet.
I would GREATLY appreciate any help you can provide.

Get Record based on form textbox value

I am trying to get a record based on the value contain within the textbox on a form. i.e i type in the information into the textbox and other values associated with that value are returned to other textbox on the form.
I thought this would be easy but can't seem to get it to work.
Currently I was trying
Dim rst As DAO.Recordset
Dim SQL As String
Dim SQL2 As String
SQL = "SELECT tblmytbl.[IDCODE]"
"FROM tblmytbl " & _
"WHERE (((tblmytbl.[IDCODE]) = forms!myform!mybox.value "
Set db = CurrentDb
Set rst = db.OpenRecordset(SQL)
If Not ((rst.BOF = True) And (rst.EOF = True)) Then
Forms!myform!Text102 = rst.Fields("[Name]")
Forms!myform!Text103 = rst.Fields("[Surname]")enter code here
Note: The search information is alphanumeric and i have tried without the .value
Any help would be appreciated.
Thanks
The SQL you send to the server can't access the form. However, you can concatenate the value into the string that you send like:
" WHERE (((mytable.myfield) = '" & FixQuotes(Forms!myform!mybox.value) & "') " & _
Note, you may need to defend yourself against SQL injection, a simple (but not complete) defense would be something like:
Public Function FixQuotes(input as string) As String
FixQuotes = Replace(input,"'","''")
End Function
EDIT:
Based on your updated code, there's quite a number of changes you need to make. Beyond my statement above, the .OpenRecordset only applies to full tables, you can't use it with a SELECT statement. Instead, you have to instantiate a QueryDef. On top of that, you try to reference fields you didn't include in the query. Also, you can simplify the expression Forms!myform! to Me (which could help if you want to reuse the code somewhere else) So your code should look something like this:
Dim db as Database 'always dim everything, you should use Option Explicit'
Dim rst as Recordset 'DAO is the default anyway'
Dim qdf as QueryDef 'this object is required for queries'
Set db = CurrentDb
'prepare single-use query, to return the values you're going to use
'as mentioned before, the query doesn't have access to the form
'we can use Me since it references the form'
' use TOP 1 since you only expect 1 record'
Set qdf = db.CreateQueryDef("","SELECT TOP 1 Name,Surname FROM tblmytbl " & _
"WHERE IDCODE = '" & FixQuotes(Me.mybox.value) & "';")
Set rst = qdf.OpenRecordset(DbOpenForwardOnly)
'forwardonly since you only care about the first record'
If Not rst.EOF Then 'ForwardOnly has to start at the first record'
Me.Text102.Value = rst!Name
Me.Text103.Value = rst!Surname
'I highly suggest giving these boxes better names'
Else
'no record found'
End if
rst.Close
qdf.Close
db.Close 'close these objects, it can sometimes cause memory leaks otherwise'

Using ADODB.Recordset.Index when connecting to MySQL ODBC in VB6

I am working on a system that has been in use since the 90's. Written in VB6, it was originally setup to utilize an Access Database and the JET driver.
Now, since we have clients running up against the 2GB file size limit on Access DBs, we are looking into converting everything over to mySQL.
Unfortunately, everything in the system that was written prior to about 5 years ago is using this type of logic:
Dim rst As New ADODB.Recordset
rst.ActiveConnection = cnn
rst.Open "table"
rst.Index = "index"
rst.Seek Array("field1", "field2"), adSeekFirstEQ
rst!field1 = "something new"
rst.Update
The newer code is using SQL commands like SELECT, UPDATE, etc.
So, what we're hoping to do is to phase in the new mySQL DBs for our clients - get them the DB setup but using all the old code.
The problem is that I can't use Index when using the SQL db... everything else seems to work fine except for that.
I get the error: #3251: Current provider does not support the necessary interface for Index functionality.
Is there something I'm missing? Is there another way to so a Seek when using SQL so that I can sort by my Index? Or will I have to go in and change the entire system and remove all the Seek logic - which is used THOUSANDS of times? This is particularly an issue for all of our Reports where we might have a Table with an Index where Col 1 is sorted ASC, Col 2 is sorted DESC, Col 3 is ASC again and I need to find the first 5 records where Col 1 = X. How else would you do it?
Since, as you posted, the DB doesn't support Seek or Index, you're kind of out of luck as far as that is concerned.
However, if you really must use seek /index I'd suggest importing the result of the SQL query into a local .mdb file and then using that to make the recordset work like the rest of the code expects.
This is slightly evil from a performance point of view, and honestly it may be better to replace all the seeks and index calls in the long run anyways, but at least it'll save you time coding.
For creating the local db you can do:
Function dimdbs(Temptable as String)
Dim tdfNew As TableDef
Dim prpLoop As Property
Dim strDbfullpath As String
Dim dbsn As Database
Dim idx As Index
Dim autofld As Field
'PARAMETERS: DBFULLPATH: FileName/Path of database to create
strDbfullpath = VBA.Environ$("TMP") & "\mydb.mdb"
If Dir(strDbfullpath) <> "" Then
Set dbsn = DBEngine.Workspaces(0).OpenDatabase(strDbfullpath)
Else
Set dbsn = DBEngine.CreateDatabase(strDbfullpath, dbLangGeneral)
End If
Set tdfNew = dbsn.CreateTableDef(Temptable)
With tdfNew
' Create fields and append them to the new TableDef
' object. This must be done before appending the
' TableDef object to the TableDefs collection of the
' database.
Set autofld = .CreateField("autonum", dbLong)
autofld.Attributes = dbAutoIncrField
.Fields.Append autofld
.Fields.Append .CreateField("foo", dbText, 3)
.Fields.Append .CreateField("bar", dbLong)
.Fields.Append .CreateField("foobar", dbText, 30)
.Fields("foobar").AllowZeroLength = True
Set idx = .CreateIndex("PrimaryKey")
idx.Fields.Append .CreateField("autonum")
idx.Unique = True
idx.Primary = True
.Indexes.Append idx
Debug.Print "Properties of new TableDef object " & _
"before appending to collection:"
' Enumerate Properties collection of new TableDef
' object.
For Each prpLoop In .Properties
On Error Resume Next
If prpLoop <> "" Then Debug.Print " " & _
prpLoop.Name & " = " & prpLoop
On Error GoTo 0
Next prpLoop
' Append the new TableDef object to the Northwind
' database.
If ObjectExists("Table", Temptable & "CompletedCourses", "Userdb") Then
dbsn.Execute "Delete * FROM " & Temptable & "CompletedCourses"
Else
dbsn.TableDefs.Append tdfNew
End If
Debug.Print "Properties of new TableDef object " & _
"after appending to collection:"
' Enumerate Properties collection of new TableDef
' object.
For Each prpLoop In .Properties
On Error Resume Next
If prpLoop <> "" Then Debug.Print " " & _
prpLoop.Name & " = " & prpLoop
On Error GoTo 0
Next prpLoop
End With
Set idx = Nothing
Set autofld = Nothing
End Function
to find and delete it later you can use the following:
Function DeleteAllTempTables(strTempString As String, Optional tmpdbname As String = "\mydb.mdb", Optional strpath As String = "%TMP%")
Dim dbs2 As Database
Dim t As dao.TableDef, I As Integer
Dim strDbfullpath
If strpath = "%TMP%" Then
strpath = VBA.Environ$("TMP")
End If
strDbfullpath = strpath & tmpdbname
If Dir(strDbfullpath) <> "" Then
Set dbs2 = DBEngine.Workspaces(0).OpenDatabase(strDbfullpath)
Else
Exit Function
End If
strTempString = strTempString & "*"
For I = dbs2.TableDefs.Count - 1 To 0 Step -1
Set t = dbs2.TableDefs(I)
If t.Name Like strTempString Then
dbs2.TableDefs.Delete t.Name
End If
Next I
dbs2.Close
End Function
To import from SQL to that DB you'll have to get the recordset and add each record in using a for loop (unless it's a fixed ODBC connection, i think you can import directly but I don't have example code)
Dim formrst As New ADODB.recordset
Set mysqlconn = New ADODB.Connection
Dim dbsRst As recordset
Dim dbs As Database
'opens the ADODB connection to my database
Call openConnect(mysqlconn)
'calls the above function to create the temp database
'Temptable is defined as a form-level variable so it can be unique to this form
'and other forms/reports don't delete it
Call dimdbs(Temptable)
Me.RecordSource = "SELECT * FROM [" & Temptable & "] IN '" & VBA.Environ$("TMP") & "\mydb.mdb'"
Set dbs = DBEngine.Workspaces(0).OpenDatabase(VBA.Environ$("TMP") & "\mydb.mdb")
Set dbsRst = dbs.OpenRecordset(Temptable)
Set formrst.ActiveConnection = mysqlconn
Call Selectquery(formrst, strSQL & strwhere & SQLorderby, adLockReadOnly, adOpenForwardOnly)
With formrst
Do Until .EOF
dbsRst.AddNew
dbsRst!foo = !foo
dbsRst!bar = !bar
dbsRst!foobar = !foobar
dbsRst.Update
.MoveNext
Loop
.Close
End With
dbsRst.Close
Set dbsRst = Nothing
dbs.Close
Set formrst = Nothing
You'll have to re-import the data on save or on form close at the end, but at least that will only need one SQL statement, or you can do it directly with the ODBC connection.
This is by far less than optimal but at least you can couch all this code inside one or two extra function calls and it won't disturb the original logic.
I have to give huge credit to Allen Browne, I pulled this code from all over the place but most my code probably comes from or has been inspired by his site (http://allenbrowne.com/)
Who wants to use VB6? Nevertheless...
When you do not specify Provider, you can't use Index property. As far as i know only OleDb for MS Jet supports *Seek* method and *Index* property.
Please read this:
Seek method - http://msdn.microsoft.com/en-us/library/windows/desktop/ms675109%28v=vs.85%29.aspx
Index property - http://msdn.microsoft.com/en-us/library/windows/desktop/ms675255%28v=vs.85%29.aspx
ConnectionString property - http://msdn.microsoft.com/en-us/library/windows/desktop/ms675810%28v=vs.85%29.aspx
Provider property - http://msdn.microsoft.com/en-us/library/windows/desktop/ms675096%28v=vs.85%29.aspx

[EDIT]
After your comments...
I would strongly recommend to download and install Visual Studio Express Edition and use VB.NET instead VB6. Than install ADO.NET MySQL Connector and re-write application, using the newest technology rather than torturing yourself with ADODB objects, etc.

Error 3061 Too few parameters 2 expected

I have been facing the error 3061 with error message "Too few Parameters: Expected 2". I have done all of the following to resolve the issue but still couldn't it.
I ran the query in SQL mode and it gives me result
I checked all the field names
I checked all the "&" s are placed. I find them correct.
Here is my code:
Private Sub cmbYear_Change()
Dim db As Database
Dim rs As DAO.Recordset
Dim Query As String
Query = " SELECT Yrs_Teaching, Highest_Edu, AD_Descr FROM ClassSurvey" & _
" WHERE ClassSurvey.Program/School_ID = " & Me.cmbProgId.Value & _
" AND ClassSurvey.ClassID = " & Me.cmbClassId.Value & _
" AND ClassSurvey.Teacher_ID = " & Me.cmbTeacherID.Value & _
" AND ClassSurvey.SYear = " & Me.cmbYear.Value
Set db = CurrentDb
Set rs = db.OpenRecordset(Query)
If rs.RecordCount > 0 Then
Me.TB1 = rs!Yrs_Teaching
Me.TB2 = rs!Highest_Edu
Me.TB3 = rs!AD_Descr
Else
Me.TB1 = "N/A"
End If
Set rs = Nothing
Set db = Nothing
End Sub
It appears your table includes a field named Program/School_ID. Bracket that field name in the SELECT statement so the db engine can properly recognize it as one field name.
That change might be all you need. But if you have another problem, give yourself an opportunity to examine the completed SELECT statement you're giving to the db engine. It might not be what you expect.
Dim db As Database
Dim rs As DAO.Recordset
Dim strQuery As String
strQuery = "SELECT cs.Yrs_Teaching, cs.Highest_Edu, cs.AD_Descr FROM ClassSurvey AS cs" & _
" WHERE cs.[Program/School_ID] = " & Me.cmbProgId.Value & _
" AND cs.ClassID = " & Me.cmbClassId.Value & _
" AND cs.Teacher_ID = " & Me.cmbTeacherID.Value & _
" AND cs.SYear = " & Me.cmbYear.Value
Debug.Print strQuery
Set db = CurrentDb
Set rs = db.OpenRecordset(strQuery)
If you get an error, you can go to the Immediate window (Ctrl+g), copy the statement text from there, open a new query in the query designer, switch to SQL View, paste in the statement text and try running it there. This tip is especially useful when the db engine complains about a missing parameter because when you try to run the query from the designer, Access will show you an input box asking you to supply a value and that box also contains the name of whatever Access thinks is the parameter.
I came across this when I was looking for a solution to the same problem. Turns out one of the values from a control on the form was not passing the value to the statement, sending it to the debug window (Debug.print) helped me spot the problem after a long time because I was using a global variable which the sql query was parsing. So load your controls' values into variables first!
This error may be because the column names in the query have special characters. Try surrounding the column names with square brackets in the SQL query. Column name with special symbols should be within square brackets and variables should be inside single quotes.
I had this issue too, I realized it was because I did not put quotes around my variables.
This was fixed by adding '& Chr(34)' around my variables
My fixed code looks like:
TextProducer = [Forms]![MyFormName]![TextInputBoxName]
strQuery = "SELECT FILEMASK" & _
" FROM TABLE_NAME" & _
" WHERE Producer = " & Chr(34) & TextProducer & Chr(34)

How can I check for null values in Access?

I am new to Access. I have a table full of records. I want to write a function to check if any id is null or empty. If so, I want to update it with xxxxx.
The check for id must be run through all tables in a database.
Can anyone provide some sample code?
I'm not sure if you are going to be able to find all tables in the database with Access SQL. Instead, you might want to write up some VBA to loop through the tables and generate some SQL for each table. Something along the lines of:
update TABLE set FIELD = 'xxxxxx' where ID is null
Check out the Nz() function. It leaves fields unaltered unless they're null, when it replaces them by whatever you specify.
For reasonable numbers and sizes of tables, it can be quicker to just
open them
sort by each field in turn
inspect for null values and replace manually
It's good practice to find out where the nulls are coming from and stop them - give fields default values, use Nz() on inputs. And have your code handle any nulls that slip through the net.
I'm calling it the UpdateFieldWhereNull Function, and shown is a Subroutine which calls it (adapted from http://www.aislebyaisle.com/access/vba_backend_code.htm)
It updates all tables in the DbPath parameter (not tested, handle with care):
Function UpdateFieldWhereNull(DbPath As String, fieldName as String, newFieldValue as String) As Boolean
'This links to all the tables that reside in DbPath,
' whether or not they already reside in this database.
'This works when linking to an Access .mdb file, not to ODBC.
'This keeps the same table name on the front end as on the back end.
Dim rs As Recordset
On Error Resume Next
'get tables in back end database
Set rs = CurrentDb.OpenRecordset("SELECT Name " & _
"FROM MSysObjects IN '" & DbPath & "' " & _
"WHERE Type=1 AND Flags=0")
If Err <> 0 Then Exit Function
'update field in tables
While Not rs.EOF
If DbPath <> Nz(DLookup("Database", "MSysObjects", "Name='" & rs!Name & "' And Type=6")) Then
'UPDATE the field with new value if null
DoCmd.RunSQL "UPDATE " & acTable & " SET [" & fieldName & "] = '" & newFieldValue & "' WHERE [" & fieldName & "] IS NULL"
End If
rs.MoveNext
Wend
rs.Close
UpdateFieldWhereNull = True
End Function
Sub CallUpdateFieldWhereNull()
Dim Result As Boolean
'Sample call:
Result = UpdateFieldWhereNull("C:\Program Files\Microsoft Office\Office\Samples\Northwind.mdb", "ID", "xxxxxx")
Debug.Print Result
End Sub
