Setting up an MS-Access DB for multi-user access - ms-access

We're thinking of "growing" a little MS-Access DB with a few tables, forms and queries for multiple users. (Using a different back-end is another, but more long-term option that is unfortunately currently not acceptable.)
Most users will be read-only, but there will be a few (currently one or two) users that have to be able to do changes (while the read-only users are also using the DB). We're not so much concerned about the security aspects, but more about some of the following issues:
How can we make sure that the write-user can make changes to the table data while other users use the data? Do the read-users put locks on tables? Does the write-user have to put locks on the table? Does Access do this for us or do we have to explicitly code this?
Are there any common problems with "MS Access transactions" that we should be aware of?
Can we work on forms, queries etc. while they are being used? How can we "program" without being in the way of the users?
Which settings in MS Access have an influence on how things are handled?
Our background is mostly in Oracle, where is Access different in handling multiple users? Is there such thing as "isolation levels" in Access?
Any tips or pointers to helpful articles would be greatly appreciated.

I find the answers to this question to be problematic, confusing and incomplete, so I'll make an effort to do better.

Nobody has really answered this in any complete fashion. The information on setting locks in the Access options has nothing to do with read vs. write locking. No Locks vs. All Records vs. Edited Record is how you set the default record locking for WRITES.
No locks means you are using OPTIMISTIC locking, which means you allow multiple users to edit the record and then inform them after the fact if the record has changed since they launched their own edits. Optimistic locking is what you should start with as it requires no coding to implement it, and for small users populations it hardly ever causes a problem.
All Records means that the whole table is locked any time an edit is launched.
Edited Record means that fewer records are locked, but whether or not it's a single record or more than one record depends on whether your database is set up to use record-level locking (first added in Jet 4) or page-level locking. Frankly, I've never thought it worth the trouble to set up record-level locking, as optimistic locking takes care of most of the problems.
One might think that you want to use record-level pessimistic locking, but the fact is that in the vast majority of apps, two users are almost never editing the same record. Now, obviously, certain kinds of apps might be exceptions to that, but if I ran into such an app, I'd likely try to engineer it away by redesigning the schema so that it would be very uncommon for two users to edit the same record (usually by going to some form of transactional editing instead, where changes are made by adding records, rather than editing the existing data).
Now, for your actual question, there are a number of ways to accomplish restricting some users to read-only and granting others write privileges. Jet user-level security was intended for this purpose and works fine insofar as it's "security" for any meaningful definition of the term. In general, as long as you're using a Jet/ACE data store, the best security you're going to get is that provided by Jet ULS. It's crackable, yes, but your users would be committing a firable offense by breaking it, so it might be sufficient.
I would tend to not implement Jet ULS at all and instead just architect the data editing forms such that they checked the user's Windows logon and made the forms read-only or writable depending on which users are supposed to get which access. Whether or not you want to record group membership in a data table, or maintain Windows security groups for this purpose is up to you. You could also use a Jet workgroup file to deal with it, and provide a different system.mdw file for the write users. The read-only users would log on transparently as admin, and those logged on as admin would be granted only read-only access. The write users would log on as some other username (transparently, in the shortcut you provide them for launching the app, supplying no password), and that would be used to set up the forms as read or write.
If you use Jet ULS, it can become really hairy to get it right. It involves locking down all the tables as read-only (or maybe not even that) and then using RWOP queries to provide access to the data. I haven't done but one such app in my 14 years of professional Access development.

I would recommend doing this in the application, setting forms to read/only or editable at runtime depending on the user logon. The easiest approach is to set your forms to be read-only and change to editable for the write users when they open the form.
Do the read-users put locks on tables?
Not in any meaningful sense. Jet/ACE does have read locks, but they are there only for the purpose of maintaining state for individual views, and for refreshing data for the user. They do not lock out write operations of any kind, though the overhead of tracking them theoretically slows things down. It's not enough to worry about.
Does the write-user have to put locks on the table?
Access in combination with Jet/ACE does this for you automatically, particularly if you choose optimistic locking as your default. The key point here is that Access apps are databound, so as soon as a form is loaded, the record has a read lock, and as soon as the record is edited, whether or not it is write-locked for other users is determined by whether you are using optimistic or pessimistic locking. Again, this is the kind of thing Access takes care of for you with its default behaviors in bound forms. You don't worry about any of it until the point at which you encounter problems.
Does Access do this for us or do we have to explicitly code this?
Basically, other than setting editability at runtime (according to who has write access), there is no coding necessary if you're using optimistic locking. With pessimistic locking, you don't have to code, but you will almost always need to, as you can't just leave the user stuck with the default behaviors and error messages.
Q2: Are there any common problems with "MS Access transactions" that we should be aware of?
Jet/ACE has support for commit/rollback transactions, but it's not clear to me if that's what you mean in this question. In general, I don't use transactions except for maintaining atomicity, e.g., when creating an invoice, or doing any update that involves multiple tables. It works about the way you'd expect it to but is not really necessary for the vast majority of operations in an Access application.
Perhaps one of the issues here (particularly in light of the first question) is that you may not quite grasp that Access is designed for creating apps with data bound to the forms. "Transactions" is a topic of great importance for unbound and stateless apps (e.g., browser-based), but for data bound apps, the editing and saving all happens transparently.
For certain kinds of operations this can be problematic, and occasionally it's appropriate to edit data in Access with unbound forms. But that's very seldom the case, in my experience. It's not that I don't use unbound forms -- I use lots of them for dialogs and the like -- it's just that my apps don't edit data tables with unbound forms. With almost no exceptions, all my apps edit data with bound forms.
Now, unbound forms are actually fairly easy to implement in Access (particularly if you name your editing controls the same as the underlying fields), but going with unbound data editing forms is really missing the point of using Access, which is that the binding is all done for you. And the main drawback of going unbound is that you lose all the record-level form events, such as OnInsert, BeforeUpdate and so forth.

This is one of the questions that's been well-addressed. All multi-user or replicated Access apps should be split, and most single-user apps should be, too. It's good design and also makes the apps more stable, as only the data tables end up being opened by more than one user at a time.

I don't know anything specifically about Oracle (none of my clients could afford it even if they wanted to), but asking for a comparison of Access and Oracle betrays a fundamental misunderstanding somewhere along the line.
Access is an application development tool.
Oracle is an industrial strength database server.
Apples and oranges.
Now, of course, Access ships with a default database engine, originally called Jet and now revised and renamed ACE, but there are many levels at which Access the development platform can be entirely decoupled from Jet/ACE, the default database engine.
In this case, you've chosen to use a Jet/ACE back end, which will likely be just fine for small user populations, i.e., under 25. Jet/ACE can also be fine up to 50 or 100, particularly when only a few of the simultaneous users have write permission. While the 255-user limit in Jet/ACE includes both read-only and write users, it's the number of write users that really controls how many simultaneous users you can support, and in your case, you've got an app with mostly read-only users, so it oughtn't be terribly difficult to engineer a good app that has no problems with the back end.
Basically, I think your Oracle background is likely leading you to misunderstand how to develop in Access, where the expected approach is to bind your forms to recordsources that are updated without any need to write code. Now, for efficiency's sake it's a good idea to bind your forms to subsets of records, rather than to whole tables, but even with an entire table in the recordsource behind a data editing form, Access is going to be fairly efficient in editing Jet/ACE tables (the old myth about pulling the whole table across the wire is still out there) as long your data tables are efficiently indexed.
Record locking is something you mostly shouldn't have any cause to worry about, and one of the reasons for that is because of bound editing, where the form knows what's going on in the back end at all times (well, at intervals about a second apart, the default refresh interval). That is, it's not like a web page where you retrieve a copy of the data and then post your edits back to the server in a transaction completely unconnected to the original data retrieval operation. In a bound environment like Access, the locking file on the back-end data file is always going to be keeping track of the fact that someone has the record open for editing. This prevents a user's edits from stomping on someone else's edits, because Access knows the state and informs the user. This all happens without any coding on the part of the developer and is one of the great advantages of the bound editing model (aside from not having to write code to post the edits).
For all those who are experienced database programmers familiar with other platforms who are coming to Access for the first time, I strongly suggest using Access like an end user. Try out all the point and click features. Run the form and report wizards and check out the results that they produce. I can't vouch for all of them as demonstrating good practices, but they definitely demonstrate the default assumptions behind the way Access is intended to be used.
If you find yourself writing a lot of code, then you're likely missing the point of Access.

The first thing to do (if not already done) is to split your database into a front end (with all the forms/reports etc) and a back end(with all the data). The second thing is to setup version control on the front end.
The way I have done that in a lot of my databases is to have the users run a small “jumper” database to open the main database. This jumper does the following things
• Checks to see if the user has the database on their C drive
• If they do not then install and run
• If they do then check what version they have
• If the version numbers do not match then copy down the latest version
• Open the database
This whole checking process normally takes under half a second. Using this model you can do all your development on a separate database then when you are ready to “release” you just put the new mde up onto the network share and the next time the user opens the jumper the latest version is copied down.
There are also other things to think about in multiuser database and it might be worth checking for the common mistakes such as binding a form to a whole table etc

there are no read locks unless you put them explicitly. Just use "No Locks"

BTW, you can then later move data to oracle and keep access frontend, if you have lot of users and big database.

Table or record locking is available in Access during data writes. You can control the Default record locking through Tools | Options | Advanced tab:

You can set this on a form's Record Locks or in your DAO/ADO code for specific needs.
Transactions shouldn't be a problem if you use them correctly.
Best practice: Separate your tables from All your other code. Give each user their own copy of the code file and then share the data file on a network server. Work on a 'test' copy of the code (and a link to a test data file) and then update user's individual code files separately. If you need to make data file changes (add tables, columns, etc), you will have to have all users get out of the application to make the changes.

Access is a great multi-user database. It has lots of built in features to handle the multi-user situation. In fact, it is so very popular because it is such a great multi-user database. There is an upper limit on how many users can all use the database at the same time doing updates and edits - depending on how knowledgeable the developer is about access and how the database has been designed - anywhere from 20 users to approx 50 users. Some access databases can be built to handle up to 50 concurrent users, while many others can handle 20 or 25 concurrent users updating the database. These figures have been observed for databases that have been in use for several or more years and have been discussed many times on the access newsgroups.

I have found the SMB2 protocol introduced in Vista to lock the access databases.
It can be disabled by the following regedit:

Splitting a mysql database for security

I have used sql (mostly mysql) for years but not to a professional standard, so I'm looking for a shove in the right direction.
I am currently designing a web app that will collect user's names/addresses/emails etc in one set of tables, as well as other personal information in another set of tables. These would most naturally reside in one database, but I've been considering splitting the user contact information in one database on a separate server and all the other information into another database/server, the theory being that a hacker would have to break both systems to get anything very useful.
I've done searches off and on for a few weeks and haven't found this type of design discussed much so far. Is this generally done? Is it overkill? Is there a design method to approach it, or will I have to roll it all on my own?
I did find Is splitting databases a legitimate security measure? which I guess is saying that this approach is likely overkill.

IMHO that seems to be wrong. By splitting data across 2 DB you will only increase complexity without reasonable security profits.
I think this is where data encryption can be used. Generate encryption key based on user credentials and encrypt/decrypt sensible data by user requests. Since private data must be shown only to that user, everything should be ok.
Here's an approach I used before:
Server1: DB
Server2: SC
DB is in a network domain that is accessible by the public, but cannot access SC
SC is in a network domain that is not accessible by the public, but can access SC
DB is where you stored all pertinent information, including the 'really important stuff'.
At a specified interval (I used 5 seconds) SC checks DB for any new records in any table it may want to monitor (there is a job or scheduled task) and encrypts the important information.
Although I was utilizing SQL Server 2005 and was able to work in two domains (a private(intern al) and public(for client access) and that what I just shared was a stripped down (removed as much MSSQL-exclusive parts), simplified version, with some effort I think it would be possible to recreate something similar in mysql, especially if you can host your two databases in separate, physical machines.
While many will also think this is overkill, this idea had been implemented. It costs more, and requires more work when it's data reporting time but the clients were pleased.

MS Access antiquated? Anything new in 2011?

Our company has a database of 17,000 entries. We have used MS Access for over 10 years for our various mailings. Is there something new and better out there? I'm not a techie, so keep in mind when answering. Our problems with Access are:
-no record of what was deleted,
-will not turn up a name in a search if cap's or punctuation
is not entered exactly,
-is complicated for us to understand the de-duping process.
- We'd like a more nimble program that we can access from more than one dedicated computer.
The only applications I know of that are comparable to Access are FileMaker Pro, and the database component of the Open Office suite. FM Pro is a full-fledged product and gets good marks for ease of use from non-technical users, while Base is much less robust and is not nearly as easy for creating an application.
All of the answers recommending different databases really completely miss the point here -- the original question is about a data store and application builder, not just the data store.
To the specific problems:
PROBLEM 1: no record of what was deleted
This is a design error, not a flaw in Access. There is no database that really keeps a record of what's deleted unless someone programs logging of deleted data.
But backing up a bit, if you are asking this question it suggest that you've got people deleting things that shouldn't be deleted. There are two solutions:
regular backups. That would mean you could restore data from the last backup and likely recover most of the lost data. You need regular backups with any database, so this is not really something that is specific to Access.
design your database so records are never deleted, just marked deleted and then hidden in data entry forms and reports, etc. This is much more complicated, but is very often the preferred solution, as it preserves all the data.
Problem #2: will not turn up a name in a search if cap's or punctuation is not entered exactly
There are two parts to this, one of which is understandable, and the other of which makes no sense.
punctuation -- databases are stupid. They can't tell that Mr. and Mister are the same thing, for instance. The solution to this is that for all data that needs to be entered in a regularized fashion, you use all possible methods to insure that the user can only enter valid choices. The most common control for this is a dropdown list (i.e., "combo box"), which limits the choices the user has to the ones offered in the list. It insures that all the data in the field conforms to a finite set of choices. There are other ways of maintaining data regularity and one of those involves normalization. That process avoids the issue of repeatedly storing, say, a company name in multiple records -- instead you'd store the companies in a different table and just link your records to a single company record (usually done with a combo box, too). There are other controls that can be used to help insure regularity of data entry, but that's the easiest.
capitalization -- this one makes no sense to me, as Access/Jet/ACE is completely case-insensitive. You'll have to explain more if you're looking for a solution to whatever problem you're encountering, as I can't conceive of a situation where you'd actually not find data because of differences in capitalization.
Problem #3: is complicated for us to understand the de-duping process
De-duping is a complicated process, because it's almost impossible for the computer to figure out which record among the candidates is the best one to keep. So, you want to make sure your database is designed so that it is impossible to accidentally introduce duplicate records. Indexing can help with this in certain kinds of situations, but when mailing lists are involved, you're dealing with people data which is almost impossible to model in a way where you have a unique natural key that will allow you to eliminate duplicates (this, too, is a very complicated topic).
So, you basically have to have a data entry process that checks the new record against the existing data and informs the user if there's a duplicate (or near match). I do this all the time in my apps where the users enter people -- I use an unbound form where they type in the information that is the bare minimum to create a new record (usually some combination of lastname, firstname, company and email), and then I present a list of possible matches. I do strict and loose matching and rank by closeness of the match, with the closer matches at the top of the list.
Then the user has to decide if there's a match, and is offered the opportunity to create the duplicate anyway (it's possible to have two people with the same name at the same company, of course), or instead to abandon adding the new record and instead go to one the existing records that was presented as a possible duplicate.
This leaves it up to the user to read what's onscreen and make the decision about what is and isn't a duplicate. But it maximizes the possibility of the user knowing about the dupes and never accidentally creating a duplicate record.
Problem #4: We'd like a more nimble program that we can access from more than one dedicated computer.
This one confuses me. Access is multi-user out of the box (and has been from the very beginning, nearly 20 years ago). There is no limitation whatsoever to a single computer. There are things you have to do to make it work, such as splitting your database into to parts, one part with just the data tables, and the other part with your forms and reports and such (and links to the data tables in the other file). Then you keep the back end data file on one of the computers that acts as a server, and give a copy of the front end (the reports, forms, etc.) to each user. This works very well, actually, and can easily support a couple of dozen users (or more, depending on what they are doing and how well your database is designed).
Basically, after all of this, I would tend to second #mwolfe02's answer, and agree with him that what you need is not a new database, but a database consultant who can design for you an application that will help you manage your mailing lists (and other needs) without you needing to get too deep into the weeds learning Access (or FileMaker or whatever). While it might seem more expensive up front, the end result should be a big productivity boost for all your users, as well as an application that will produce better output (because the data is cleaner and maintained better because of the improved data entry systems).
So, basically, you either need to spend money upfront on somebody with technical expertise who would design something that allows you to do better work (and more efficiently), or you need to invest time in upping your own technical skills. None of the alternatives to Access are going to resolve any of the issues you've raised without significant investment in interface design to further the goals you have (cleaner data, easier to find information, etc.).
At the risk of sounding snide, what you are really looking for is a consultant.
In the hands of a capable programmer, all of your issues with Access are easily handled. The problems you are having are not the result of using the wrong tool, but using that tool less than optimally.
Actually, if you are not a techie then Access is already the best tool for you. You will not find a more non-techie friendly way to build a data application from bottom to top.
That said, I'd say you have three options at this point:
Hire a competent database consultant to improve your application
Find commercial off-the-shelf (COTS) software that does what you need (I'm sure there are plenty of products to handle mailings; you'll need to research)
Learn about database normalization and building proper MS Access applications
If you can find a good program that does what you want then #2 above will maximize your Return on Investment (ROI). One caveat is that you'll need to convert all of your existing data, which may not be easy or even possible. Make sure you investigate that before you buy anything.
While it may be the most expensive option up-front, hiring a competent database consultant is probably your best option if you need a truly custom solution.
SQL Server sounds like a viable alternative to your scenario. If cost is a concern, you can always use SQL Server Express, which is free. Full blown SQL Server provides a lot more functionality that might not be needed right away. Express is a lot simpler as the number of features provided with it are much smaller. With either version though you will have centralized store for your data and the ability to allow all transactions to be recorded in the transaction log. Also, both have the ability to import data from an Access Database.
The newest version of SQL Server is 2008 R2
You probably want to take a look at modern databases. If you're into Microsoft-based products, start with SQL Server Express
EDIT: However, since I understand that you're not a programmer yourself, you'd probably be better off having someone experienced look into your technical problem more deeply, like the other answer suggests.
It sounds like you may want to consider a front-end for your existing Access data store. Microsoft has yet to replace Access per se, but they do have a new tool that is a lot lower on the programming totem pole than some other options. It's fairly new (still in beta) but showing potential. With it, just as with any Visual Studio project, you can connect to an MS Access datasource and design a front-end to interact with it. The plus-side here is programming requirements are much lower than with straight-up Visual Studio (read: Wizards).
Given that replacing your Access DB will require some font-end programming, you may look into VistaDB. It should allow your front end to be created in .NET with an XCopy database on the backend without requiring a server. One plus is that it retains SQL Server syntax, so if you do decide to move to SQL Server you'll be one step ahead.
(Since you're not a techie and may not understand my previous statement, you might pass my answer on to the consultant/programmer/database guy who is going to do the work for you.)

What kind of problem does it solve well, or even better than a web app backed by a real RDBMS?
Is it still actively developed? Or is it pretty dead to MS already?

First and foremost, Access IS a real RDBMS. What it is isn't is a client server RDBMS.
The only implications of this are that there is a throttle on the number of simultaneous connections and the security of the data needs careful thought.
Amongst other things, Access is also an IDE that uses VBA as its language.
This means that in Access you can write Front End apps that link to either a SQL Server back end, an Access back end, or a SharePoint back end. So it is one very versatile cookie.
It's limitations are:
Security: if you are using an Access Back End, take note that it doesn't have the built in security of a client server database. In any app, security is a function of the cost and the requisite secrecy of the data.
Number of simultaneous connections. if you are not careful, Access will struggle with more than 10 people trying to update data simultaneously. You can extend that, but you need to know what you are doing to guarantee results. to put a number to it, lets say 50 simultaneous connections.
Like most databases, it is liable to corruption.
NOTE: when referring to Access as a database, you should really be referring to the "database engine", JET or ACE, depending on the version and, for Access 2007+, dictated by the file format that you use. In other words, if you are storing data in Access tables, you are using either JET or ACE. However, if you are using LINKED TABLES, that are in, for example, SQL Server, then you are not, strictly speaking, using JET or ACE security for those tables.
Access SQL doesn't allow you to write stored procedures (you can write functions in VBA), in the sense that Access SQL only allows imperative statements as opposed to procedural statements (eg, control flow statements). You can introduce some "procedural code" using VBA functions, but this is very different to using SQL statements.
You backup the file itself. You can write code to do this at the click of a button.
Security is always a function of cost. If you have data that is worth more than 100,000 US$ (either in loss of rights or legal liabilities if it is stolen and you have not shown due diligence in protecting it), then Access is probably not the answer. 100,000 is an arbitrary figure. The precise figure will depend on whether the data is insurable and the consequences of it being lost or stolen.
Ie, if the value of the data is the driving concern, then definitely don't use Access as a Back End. Whether you use it as a Front End, is a matter of budget. For US$5000 I have written apps that are still running 10 years later. They now need to port the back end to SQL Server because the volume of sensitive data has grown.
Access, when used within the above constraints AND when used by a professional Access developer (rather than some disgruntled fool who thinks he should be using "cooler" technologies), will produce very sophisticated, sturdy and reliable applications at a 10th of the cost of other systems. In such scenarios, Access is a total NO BRAINER.
Anything else will cost more, take longer and will only be as good as the person who writes the code and designs the UI.
I have an application (the first one I ever built in Access) that has run without problems for 10 years. We have extended it massively. I have moved into ASP.NET MVC, but Access is where I hail from and I have seen it work well.
So in summary: the number of users is relevant and the value or liabilities implicit in the data are the other deciding factor.
If the number of simultaneous users is low and the value/implicit liabilities of the data is low, then the choice is definitely Access.
However, get yourself a good developer.

Access is a holy trinity. It is an IDE for writing forms and reports and functions to use in your queries. It "includes" a database engine (JET/ACE). It provides a Visual Interface onto the database engine that allows you to design queries, set up relationships between tables, etc.
It is usually referred in its many roles as just Access, but precision does help to learn Access and get the most out of it.

Access can't use stored procedures in the sense that Access SQL can only use imperative statements rather than the procedural ones (eg, control flow statements). There is a reason, I have always thought, for calling them stored PROCEDURES.

Not every Access app costs exactly 100,000. Nor is the budget of an Access app equal to the value of the data. That is obvious. The idea I was trying to convey was that if the data is worth more than a sum that can be reasonably insured, then don't use Access. Is that figure 100,000? According to Luke Chung and Clint Covington, ex program manager for Access, yes, but don't take their word for it. It really just means "a lot of money".
I have written an app for Medical Charities that still runs 10 years later after an initial budget of 5000. They have probably invested another 20,000 over the years. That kind of app is the Access sweet spot.
It all depends really, I will give you a quick example that happened to me recently. At work they needed a small system to capture some records from a group of about 15 users and pass about 15% of those records to another team of about 5 or so to do additional tasks on those records. This was a one off project that was going to last about 4 months.
The official IT solution was of course a web app with a SQL server backend coming in at about £60,000. As they had no SQL server space available and the budget was very small I decided to go with an unbound access database using JET to store the data.
In this example access/JET was the right choice, now if this had been a long term system to support 500 users of course the web app would be the way to go. Its horses for courses at the end of the day and people should not let their prejudices effect their business decisions.
Ah. Never. Point. Too many limitations in general. Backups are problematic, stability CAN be problematic. Especially if you compare access (file share daabase) against web ap you are in for a world of pain pretty much in every scenario.
Access is usable for small single place db stuff (loading data before moving it off to a SQL Server) or a front end for SQL Server (i.e. access not actually storing any data). The later is also pretty much the direction MS is taking access to - a front end technology.
My knowledge is quite old now, but it always used to be very good for reports - very quick, powerful, and much easier than, e.g. Crystal Reports.
If you just want to hack something out quickly, it's probably a bit easier to do at least some kinds of applications with Access than a web front end with a SQL (or whatever) backend. It is still being developed (Access 2010 was release within the last month or two, if memory serves).
I haven't used the new version to say for sure, but the last time I did any looking, it seemed like new editions were mostly updating the look to go along with the latest version of office, cleaning up semi-obvious problems and bugs, but not a whole lot more than that. I wouldn't say it's dead, but I don't see much to indicate that it's really one of Microsoft's top priorities either.
Trying to pin down it's biggest limitations is hard. The "JET Red" storage engine it's based around doesn't scale well at all -- but it was never really intended to. Its basic design is intended to conflate the application with the data being stored, so it's relatively difficult to just treat it as raw data to be used for other purposes. I don't know if it's still the case, but at least at one time, the database format was also fairly fragile -- file corruption was semi-common, and in most cases about the only hope of recovery was a backup file (which meant, at best, losing everything that had happened since the last backup -- and some forms of corruption weren't immediately obvious, so corrupt backups sometimes happened as well).
It comes down to this: if one of the Wizards built into access can produce exactly what you want, or at least something really close, and you only ever need to support a few users with the result, it might be a reasonable choice in a few situations. If that doesn't (all) apply, there are almost certain to be better alternatives.
The Jet database engine used by Access is considered deprecated by Microsoft, though it is still supported. The limits of an .mdb database and the newer .accdb type are described here.

Even SQL Server Express would be better in almost every case.
Someone with very limited knowledge of RDBMS/programming can still throw a quick frontend together in Access (Ideally using an external database), that's really the main use for it.

database synchronization - MS Access

I have an issue at the moment where multiple (same schema) access 2003 databases are used on laptops.
I need to find an automated way to synchronize the data into a central access database.
Data on the laptops is only appended to so update/delete operations wont be an issue.
Which tools will allow me to do this easily?
What factors will affect the decision on the best tool or solution?
It is possible to use the Jet replication built into Access, but I will warn you, it is quite flaky. It will also mess up your PK on whatever tables you do it on because it picks random signed integers to try and avoid key collisions, so you might end up with -1243482392912 as your next PK on a given record. That's a PITA to type in if you're doing any kind of lookup on it (like a customer ID, order number, etc.) You can't automate Access synchronization (maybe you can fake something like it by using VBA. but still, that will only be run when the database is opened).
The way I would recommend is to use SQL Server 2005/2008 on your "central" database and use SQL Server Express Editions as the back-end on your "remote" databases, then use linked tables in Access to connect to these SSEE databases and replication to sync them. Set up either merge replication or snapshot replication with your "central" database as the publisher and your SSEE databases as subscribers. Unlike Access Jet replication, you can control the PK numbering but for you, this won't be an issue as your subscribers will not be pushing changes.
Besides the scalability that SQL server would bring, you can also automate this using the Windows Synchronization manager (if you have synchronized folders, that's the annoying little box that pops up and syncs them when you logon/logoff), and set it up so that it synchronizes at a given interval, on startup, shutdown, or at a time of day, and/or when computer is idle, or only synchronizes on demand. Even if Access isn't run for a month, its data set can be updated every time your users connect to the network. Very cool stuff.
Access Replication can be awkward, and as you only require append queries with some checking, it would probably be best to write something yourself. If the data collected by each laptop cannot overlap, this may not be too difficult.
You will need to consider the primary keys. It may be best to incorporate the user or laptop name in the key to ensure that records relate correctly.
The answers in this thread are filled with misinformation about Jet Replication from people who obviously haven't used it and are just repeating things they've heard, or are attributing problems to Jet Replication that actually reflect application design errors.

Jet Replication is not flakey. It is perfectly reliable when used properly, just like any other complex tool. It is true that certain things that cause no problems in a non-replicated database can lead to issues when replicated, but that stands to reason because of the nature of what replication by any database engine entails.

Surrogate Autonumber PKs should never be exposed to users in the first place. They are meaningless numbers used for joining records behind the scenes, and if you're exposing them to users IT'S AN ERROR IN YOUR APPLICATION DESIGN.
If you do need sequence numbers, you'll have to roll your own and deal with the issue of how to prevent collisions between your replicas. But that's an issue for replication in any database engine. SQL Server offers the capability of allocating blocks of sequence numbers for individual replicas at the database engine level and that's a really nice feature, but it comes at the cost of increased administrative overhead from maintaining multiple SQL Server instances (with all the security and performance issues that entails). In Jet Replication, you'd have to do this in code, but that's hardly a complicated issue.
Another alternative would be to use a compound PK, where one column indicates the source replica.
But this is not some flaw in the Replication implementation of Jet -- it's an issue for any replication scenario with a need for meaningful sequence numbers.

This is patently untrue. If you install the Jet synchronizer you can schedule synchs (direct, indirect or Internet synchs). Even without it, you could schedule a VBScript to run periodically and do the synchronization. Those are just two methods of accomplishing automated Jet synchroniziation without needing to open your Access application.

JRO is really not the best way to manage Jet Replication. For one, it has only one function in it that DAO itself lacks, i.e., the ability to initiate an indirect synch in code. But if you're going to add a dependency to your app (JRO requires a reference, or can be used via late binding), you might as well add a dependency on a truly useful library for controlling Jet Replication, and that's the TSI Synchronizer, created by Michael Kaplan, once the world's foremost expert on Jet Replication (who has since moved onto internationalization as his area of concentration). It gives you full programmatic control of almost all the replication functionality that Jet exposes, including scheduling synchs, initiating all kinds of synchronization, and the much-needed MoveReplica command (the only legal way to move or rename a replica without breaking replication).
JRO is one of the ugly stepchildren of Microsoft's aborted ADO-Everywhere campaign. Its purpose is to provide Jet-specific functionality to supplement what is supported in ADO itself. If you're not using ADO (and you shouldn't be in an Access app with a Jet back end), then you don't really want to use JRO. As I said above, it adds only one function that isn't already available in DAO (i.e., initiating an indirect synch). I can't help but think that Microsoft was being spiteful by creating a standalone library for Jet-specific functionality and then purposefully leaving out all the incredibly useful functions that they could have supported had they chosen to.
Now that I've disposed of the erroneous assertions in the answers offered above, here's my recomendation:
Because you have an append-only infrastructure, do what #Remou has recommended and set up something to manually send the new records whereever they need to go. And he's right that you still have to deal with the PK issue, just as you would if you used Jet Replication. This is because that's necessitated by the requirement to add new records in multiple locations, and is common to all replication/synchronization applications.
But one caveat: if the add-only scenario changes in the future, you'll be hosed and have to start from scratch or write a whole lot of hairy code to manage deletes and updates (this is not easy -- trust me, I've done it!). One advantage of just using Jet Replication (even though it's most valuable for two-way synchronizations, i.e., edits in multiple locations) is that it will handle the add-only scenario without any problems, and then easily handle full merge replication should it become a requirement in the future.
Last of all, a good place to start with Jet Replication is the Jet Replication Wiki. The Resources, Best Practices and Things Not to Believe pages are probably the best places to start.
You should read into Access Database Replication, as there is some information out there.
But I think that in order for it to work correctly with your application, you will have to roll out a custom made solution using the methods and properties available for that end.
Use Jet and Replication Objects (JRO) if you require programmatic control over the exchange of data and design information among members of the replica set in Microsoft Access databases (.mdb files only). For example, you can use JRO to write a procedure that automatically synchronizes a user's replica with the rest of the set when the user opens the database. To replicate a database programmatically, the database must be closed.
If your database was created with Microsoft Access 97 or earlier, you must use Data Access Objects (DAO) to programmatically replicate and synchronize it.
You can create and maintain a replicated database in previous versions of Microsoft Access by using DAO methods and properties. Use DAO if you require programmatic control over the exchange of data and design information among members of the replica set. For example, you can use DAO to write a procedure that automatically synchronizes a user's replica with the rest of the set when the user opens the database.
You can use the following methods and properties to create and maintain a replicated database:

You should definitely read the Synchronizing Data part of the documentation.
I used replication in a00 for years, until forced to upgrade to a07 (when it went away). The most problematic issue we ran into, at the enterprise level, was managing the CONFLICTS. If not managed timely, or there are too many, users get frustrated and the data becomes unreliable.
Replication did work well when our remote sites were not always connected to the internet. This allowed them to work with their data, and synchronize when they could. At least twice daily.
We install a separate database on the remote computers that managed the synchronization, so the user only had to click an icon on their desktop to evoke the synchronization.
The user had a separate button to push/pull in feeds off a designated FTP file that would update from the Legacy systems.
This process worked quite well, as we had 30 of these "nodes" working around the country, managing their data and updating to the FTP servers.

You can write your own synchronization software that connects to the laptop selects the diff from it's db and inserts it to the master.
It is depends on your data scheme how easy this operation will be.
(if you have many tables with FKs... you will need to do it smartly).
I think it will be the most efficient if you write it yourself.
Automating this kind of behavior is called replication, and Accesss Supports that apparently, but I've never seen it implemented.
As I guess most of the time the laptop is not connected to the main DB it is not a good idea anyway (to replicate data).
if you will look for a 3rd party tool to do it - look for something that can easily do the diff between the tables before copying, and can do it incrementally of course.
FWIW:
Autonumbers. I agree with David - they should never be exposed. To remove that temptation, I use a Random autonumber.
Replication. I used this extensively some years back, with scheduled syncs, and using GUIDs as the PK. I repeatedly found that any hiccups over the network corrupted the replicas, with the result that I had to salvage data, and re-issue replicas. Painful!

MS Access: Avoiding "Lost Updates"

We've inherited a rather large Access DB that has some very strange (and unsettling) behaviour: Some updates to the database are lost. What can we do to avoid this? Are there any settings in Access to provide better transactional control?
Here are some more details:
We have one access user that has write access (shared by a very limited number of users - currently only me as the others are on vacation).
We have another access user that is used by many people that only has read access.
Some changes to the data are made by the write user.
After leaving and re-entering the table and/or even the application, the changes seem to have been "committed".
After a while (usually overnight) the changes are lost and the data is back to the old values.
What can cause this behavior?
Our theory is that this is caused by some weird transactional control within Access. The read-only user gets some kind of "exclusive lock" to the data that is used within a query or form. Once the user leaves that query/form, Access makes sure that this is still in the database. If in the meantime the write user has changed the data, these changes will be reverted when the read only user leaves the query/form, resulting in a lost update. Does this make sense? Is this a known issue with MS-Access??
Also, we're interested how we can avoid this issue. Is this something that is inherent in Access and can only be avoided by switching to a "real" database with better transactional control? (From a technical viewpoint, that would be nice; but of course it would be an urgent todo that we would rather avoid at this point in the project.)

I have seen something slightly similar more than a decade ago, before the bookmark bug was found and patched. In that case, leaving an edited record via bookmark navigation was losing the edit without throwing an error.
In that case, before MS patched it, the solution was to force the save before navigating away from the record:

The other thing to check is if error reporting is turned on and how that's interacting with the VBE error handling settings. If the code is littered with On Error Resume Next in order to ignore generated errors, then the code needs to be completely rewritten. The problem with it is that it doesn't always go out of scope as expected.
I never use On Error Resume Next, myself. Instead, if I'm expecting a particular error but want to ignore it, I trap for that error and ignore it, and thus allow any other errors that I haven't anticipated to not disappear down the memory hole.
My thinking here is that some kind of locking issue is generating an error that's being ignored. Thus, the error never gets reported and the changes get lost without anyone ever knowing.
Another thing to look at is whether the back end is stored on a file server where the drives are replicated. This is an untenable setup for Access and Jet, because it completely kills all of Jet/ACE's record locking and internal transactions because the file image is in a state of flux. I've seen reports of what you're describing where two servers were replicated, and both versions of the MDB were being edited. The result was loss of data when the file system replication kicked in and overwrote the changes on one side with the changes from the other.

The idea that a read-only user could cause changes by a write user to be lost is not possible.
Maybe the read-only users aren't actually read-only? How, exactly is read-only vs. read/write implemented? In my apps, I'd probably have the forms by default set to read-only, and set Allowedits/Allowadditions/Allowdeletions on the forms to True for the read/write user. I assume from what you've said that you're using Jet user-level security, likely with the default Admin user being the read-only user, and some other user name being the read/write user. Thus, in all the forms you could do this in the OnLoad event:

Me.AllowDeletions = Me.AllowEdits
Me.AllowAdditions = Me.AllowEdits
It would also be wise to apply user-level restrictions to the tables (back end only, or both back end and front end), giving read-only Admin user group and User user group, and then give read/write to your one user. Jet ULS is not like NTFS security, where least permissive permissions win -- in Jet ULS, MOST permissive wins, and that's why you have to make sure that you make both Admin and User groups read-only (and give no permissions to the Admin user specifically, i.e., so all permissions are inherited from group membership).
I'm assuming, of course, that this is not being attempted through NTFS permissions on the back-end MDB. If so, that's likely to be a major problem and is simply not the right way to do it. From what you've said, it seems unlikely that this is what is going on, so I won't say any more about it.
But the first thing I'd look at is whether or not the so-called read-only users really are read-only.
Inherited MS Access is always the best,isn't it. To get the obvious solution over and done with early, I recommend moving the data over to SQL Server. It's really not a big job. You might also get some benefit by splitting the database (GUI and data) into separate .mdb's
That all said, I've never come across that sort of behaviour before. Obvious questions are:
How large is the database?
What version is it?
Has it been compacted and repaired recently (take a backup first of course)?
There is transaction processing that you can do with MS Access, but I've found it to be a pain in the butt, and often leads to bizarre errors (until you start grokking the way that the transactions are colliding). Most of your application is probably assuming optimistic locking, and the default behaviour is contradictory to transactions the way you would think of them in Oracle or any other real database. It's probably not worth it.
One more thought, perhaps there's two people with write access looking at the same record at the same time; and one is doing updated in a different field of the record.
Some thoughts:
Is there a genuine need for 2 people to have write access to the same table at the same time? I think you can lock out the 2nd person easily enough by changing the Record Locking and Open Modes in Tools->Options.
You said the updated data usually reverts to its old self at night. Could someone be running an overnight process that also updates the same tables?
